Staff / Management Hire Process:
To begin the recruitment process of filling a vacant staff/management position, please ensure you have a cms position number.
Getting Started - Recruitment Approval Process
- Department completes an online position description and routes for appropriate approvals electronically.
- Once the position description is approved, department may access the position description and “recruit for position” to create a job requisition. The job requisition is routed for appropriate approvals electronically.
- If the job requisition is fully approved by noon on Tuesday, Human Resources will move forward with posting on the following Thursday.

Job is Posted
- Once your job has posted, Talent Acquisition will email the department the assigned recruiter.
- Department to identify search committee chair and members.
- Search committee chair to ensure each member of the search committee completes the equitable search training at onset of job posting.
- Search committee chair to ensure each member of the search committee completes confidentiality form for MPP recruitments.
- Departments will received a pre-screened shortlisting of applicants on the Monday prior to the scheduled job closing date to determine if the job should be close as scheduled or extended for additional applicants.
- Once a job posting has closed, the assigned recruiter will provide the final shortlisting with further instructions on next steps.
Next Steps
- Prior to Interviewing
- Ensure all search committee members have completed the equitable search training.
- Provide recruiter with search committee members, interview questions for all rounds, interview schedule with names, dates and times.
- Departments conduct interviews
- Once all rounds of interviews are completed, departments must complete interview evaluation forms. See screen step guide on accessing interview evaluation forms in CHRS.
- Disposition final candidate to “Department Requesting Reference Check” or email your assigned recruiter the top candidate along with any alternates if applicable.
- Once all references are completed and offer card is approved, assigned recruiter will extend the verbal conditional offer.
- Upon acceptance, the background check is initiated.
- Once background check is cleared, a formal offer letter is extended.
- After candidate has accepted the formal offer, assigned recruiter will send a new hire announcement to the department.
- Human Resources will send applicant notifications accordingly.
